FAQ

Unfortunately, you will no longer be able to use Stirling Accounts once it is retired. You will only be able to access your historical records.  We have notified HM Revenue & Customs that the system will no longer be available from 31 May 2026.

Anyone continuing to use the software after this date risks non-compliance with Making Tax Digital requirements and may be unable to submit Tax and VAT Returns electronically. In addition, Mandata will be unable to provide support, updates, or security fixes beyond the retirement date.

To access your data after 31st May 2026, please purchase a Lifetime Archive Licence. This will enable you to access the system for reporting and historical data retrieval.  Please click here to complete the form below to request archive license details.

The Lifetime Archive Licence allows you to retain long-term access to your existing accounts data.

Please note that, once the software has reached End of Life (EOL), it will no longer supported or maintained by our development team. This means we will not be responsible for resolving any future issues that may arise due to:

  • Changes or updates to your hardware, server, operating system, or virtual environment
  • Windows or SQL Server updates, patches, or version upgrades
  • Data corruption, loss, or compatibility issues with newer third-party software
  • Network configuration changes or external system integrations failing
  • Installation, migration, or reinstallation requirements following hardware failure or IT infrastructure changes

In short, while you will retain indefinite access under this licence, any technical or environmental changes that render the software unusable will not be covered or supported by us.

We therefore recommend maintaining appropriate system backups and documentation to preserve access for as long as technically feasible.

With an Archive Licence, you will be able to access the system and operate this as you normally would.

  • Mandata TMS customers: Your TMS can be integrated with your chosen accounts’ platform and we will help you with this process. All other functionalities will remain unchanged.
  • Stirling WMS customers: We are releasing new functionality that enables core invoicing tasks to run independently of Stirling Accounts. This will require a system update, and we’ll contact you once it’s available. Integration with your chosen accounts’ platform will also be supported.
  • Stirling Workshop customers: Similar to WMS, new functionality will allow core invoicing tasks to run without Stirling Accounts. A system update will be required, and we’ll notify you when it’s ready. Integration with your chosen accounts’ platform will also be supported.

Unfortunately, no extensions will be available.  The system will be decommissioned on the announced date.

Unfortunately, we’re unable to advise or endorse specific accounts software vendors. If you are a Mandata TMS customer, we can advise whether the accounting software you choose will integrate with your transport management system and how it will support your processes.

Mandata integrates with most major accounting providers. If you’d like further details, please get in touch with your Customer Success Manager or email: csm@mandata.co.uk.

As Stirling Accounts approaches its retirement, we’ll work with you to transition your hosted system from the Mandata Cloud to your own local environment. This ensures you retain access to your historical records once the system is no longer supported.

Our team can assist with moving your Stirling Accounts data to your chosen archive PC or server. The data can be copied from the Cloud to your own device, provided the database is under 10GB in size. Please note that Stirling Accounts requires Microsoft SQL Express, which supports databases up to 10GB. If your data exceeds this limit, you’ll need to purchase a Microsoft SQL Server licence.

Once transferred, your archived system will operate in a read-only mode, allowing you to view and reference historical information as needed. After the transition is complete, Mandata will no longer host Stirling Accounts in the Cloud environment.

Our Support team will be available until 31st May 2026 to assist with data exports and answer any queries related to the system closure.
