  1. Discovery and Needs Analysis – Finding the right system for you

We’ll invite you to discuss your business challenges with one of our industry experts.  We’ll walk you through what we call a discovery process where we learn about how you work, your processes and the particular problems you are facing   Once we understand more about your operation, we’ll look at how a system can help you overcome your challenges and achieve the business improvements you require.  We can provide remote and on-site demonstrations of key aspects of our software to give you a better understanding of how Mandata can support your team in their various roles.

  1. Pre-implementation and process review

Once we’ve identified the most appropriate solution for you, you will undertake a detailed process review with our Professional Services team.  This will involve key stakeholders in your business. We will get to know and understand your business as best we can, mainly through asking you lots of questions. We’ll find out what is important to you.

Our Mandata professional services team will guide and support you through every stage of your journey with us and help you get the most from your Mandata software. By gaining a thorough understanding of your business and your issues they will help you realise all the process, efficiency and cost-saving benefits you’re looking for from Mandata.

  1. Set up, configuration and super user training

Through a series of visits, we’ll look at all aspects of your system, discuss how you might want to use it and then show your super users how to use the system.  Your team will continue with data input and test what was setup before the next session.

  1. EDI configuration & testing

We start work setting up data transfer into your Mandata system (via EDI’s) as soon as possible. At the very least we’d ask you to provide example files, and an idea of what is needed (job data in only, job data in and status data back, load building for example).

  1. User Acceptance Testing and Refinement

You will become proficient in using the system by going through the setup process and testing the system updates after each session. We will reach a point where the system is ‘complete’, or at least there is no new setup to be done.

From here, you would normally gather key users from each department and run them through the system from start to finish, accounting for the more unusual jobs that you do. To ensure a smooth transition to your new software, we will require you to test the system thoroughly and let us know if any aspects need to be refined.

  1. User Training

Once the system proving and testing is complete, there will be formal training for your users. This is usually best done as close to ‘go live’ as possible to maximise how much information is retained. Ideally small groups from similar job roles should attend the user training sessions at the same time.

  1. Go Live – This is it!

A day should be selected to officially make the switch to your new software. There will be some effort required at the end of the previous week to ease the transition, for example, getting jobs added in and accounting for any jobs that might be in two systems. The complexity can vary depending on the type of work you do, but we can advise you on this, once we fully understand your business.
